Tuition Fee Receipt Format in India: What to Include

Most tuition teachers give receipts only when a parent asks. That is usually the moment a receipt is least useful, because by then somebody is already unsure about what was paid.
A receipt takes ten seconds and settles the question permanently. This page covers what a tuition fee receipt should contain, and gives you templates you can copy straight into WhatsApp, a receipt book, or a PDF.
The eight things a fee receipt needs
- A receipt number. A simple running number is enough — 2026-27/041. Never reuse one.
- The date the money was received, not the date the fee was due. If those differ, the received date is the one that matters.
- Your tuition or coaching name, with a contact number.
- The student's name, and the class or batch if you run more than one.
- What period the fee covers. "August 2026", or "August to October 2026" for an advance payment. This single line prevents most fee disputes.
- The amount, in figures and in words. Writing it twice is an old habit for a good reason — it removes any argument about a missing zero.
- How it was paid — cash, UPI, or bank transfer. For UPI, the last four digits of the transaction reference are useful.
- Whether anything is still outstanding. Say "Balance: nil" explicitly. Silence gets remembered as "fully paid" by one side and "part paid" by the other.
Anything beyond these eight is optional. A signature or stamp adds weight to a printed receipt but is not what makes it valid — the record of what was received is.

Once parents are used to receiving these, a shorter one is enough for routine months:

When a parent pays several months together, spell out every month covered. This is the receipt you will be glad you wrote carefully.

Note the last line. Stating when the next payment is due turns the receipt into a reminder, and stops the awkward conversation four months later about whether December was included.
Printed receipt book format
If you prefer a physical book, rule it into these columns and you will never be short of anything:
- Receipt no.
- Date received
- Student name and class
- Period covered
- Amount (figures)
- Amount (words)
- Cash / UPI / transfer
- Balance
- Signature
Keep the carbon copy. A receipt book with the counterfoils intact is the simplest fee record there is, and it has settled more disputes than any spreadsheet.
Four mistakes worth avoiding
- No period on the receipt. "Received ₹1,500" without a month is nearly useless three months later. This is the single most common gap.
- Reusing or skipping receipt numbers. Both make your records hard to trust, including for you.
- Only giving receipts on request. The parents who never ask are exactly the ones who will later be unsure what they paid.
- Sending receipts in the class group. Fees are private. Always message the parent directly.
On GST and tax
A receipt is your written confirmation that money was received. You can issue one whether or not you are registered for GST, and most independent tuition teachers are not registered.
If you do hold a GSTIN, put it on the receipt. Whether GST applies to your tuition income at all depends on your turnover and how you operate, and that is a question for an accountant rather than a guide like this one. What is written here is about keeping clear records between you and a parent, not tax advice.

What should a tuition fee receipt include?
Eight things: a receipt number, the date, your tuition or coaching name, the student's name, the period the fee covers, the amount in figures and words, how it was paid, and confirmation of any balance. Everything else is optional.
Is a WhatsApp message a valid fee receipt?
For everyday purposes between a teacher and a parent, yes — a dated written message stating the student, amount, period and payment method is a record both sides can refer back to. It is not a formal tax document. If a parent needs a receipt for an employer, a school reimbursement or a tax claim, give them a signed printed or PDF receipt as well.
Do I need a GST number to give a fee receipt?
No. A receipt is simply your written confirmation that money was received, and you can issue one whether or not you are GST-registered. If you are registered, your GSTIN should appear on it. Whether GST applies to your tuition income depends on your circumstances — check with an accountant.
Should I number my tuition fee receipts?
Yes. A running number such as 2026-27/041 makes it far easier to answer questions months later, and shows parents you keep proper records. Never reuse a number.
How long should I keep tuition fee records?
At least a few years. Fee disputes usually surface at the end of a session or when a student leaves, so a searchable record of every payment is worth more than the effort of keeping it. Digital records you can export to Excel are easiest.
